A team can preserve every important lesson and still leave people guessing where any of that knowledge belongs.

Imagine a growing collection of careful records. Each one explains what was learned, what supports it, where it applies, what remains uncertain, and when it should be reconsidered. The meaning survives—but the records accumulate under campaign names, team labels, channels, and one-off categories. Two people place similar lessons in different areas. Organization changes structure, not epistemic status. A well-placed record is not automatically more true, better evidenced, universally applicable, or governance-approved. Its original evidence, boundaries, and uncertainty remain exactly what they were.

A stable structure is predictable, not permanent

Stable does not mean permanent, immutable, rigid, or universally correct. A structure can be reconsidered when the knowledge domain changes or accumulated evidence exposes a better governing distinction. The requirement is consistency that can be explained—not a promise that categories will never evolve.

Use one primary placement and meaningful relationships

The durable subject should govern one primary placement at a useful level of granularity. A category so broad that everything fits provides little guidance. A category created for every individual record prevents comparable knowledge from gathering into an intelligible structure.

Secondary relevance belongs in relationships. A lesson about an explanatory format for a defined audience may relate to format knowledge, audience knowledge, and distribution knowledge while retaining one primary home in decision learning. Those relationships communicate relevance without creating competing identities or duplicate records.

Structural ambiguity remains when several unrelated placements appear equally plausible, a temporary label controls the decision, another person cannot explain the choice, or the record must be rewritten merely to fit. If the underlying meaning itself is unclear, organization must return the record for clarification rather than inventing certainty.

Five decisions turn one preserved record into a meaning-preserving structural candidate. The final test asks whether another person can apply the same reasoning to comparable knowledge.

01Identify the durable subject

Ask what the record is fundamentally about after temporary campaign, team, owner, channel, and project labels are removed. If the subject cannot be stated without inventing or rewriting meaning, return it for clarification.

02Choose the primary placement

Select one explainable home governed by the durable subject and set at useful granularity. If unrelated placements remain equally plausible, record that the structural placement is unresolved.

03Map meaningful relationships

Connect the record to genuinely relevant knowledge while retaining one primary identity. Express secondary relevance as relationships rather than duplicate copies.

04Preserve the record's meaning

Verify that placement has not stripped, broadened, or rewritten the lesson, evidence, provenance, context, applicability, limits, exclusions, uncertainty, or reconsideration conditions.

05Test stable explainability

Ask whether another person can explain why the record belongs here and place materially comparable knowledge consistently. Unstable or competing placements remain unresolved.

Worked example: organize a format lesson without rewriting it
